Patent management software for firms that also handle trademarks.
Patents in IPBases carry their route, claims, inventors, priority, office actions and next annuity date — on the same system as your trademarks, clients, documents and invoices.
What a patent management system needs to hold
A patent management system keeps each application and granted patent on one record: its type and route, the claims and inventors, priority claims, publication and grant, the office actions along the way, and the annuities that keep it in force. It also has to connect the patent to the client, the agent handling it abroad, the documents and the invoices.
IPBases is trademark-first software with a full patent module. That makes it a good fit for firms whose work is mostly trademarks with a growing patent practice, and for practices that want trademarks, patents and designs on one record per client rather than in two systems.
The patent record
Applications by type and route
Utility applications, PCT international applications and national-phase entries, continuations and divisionals, each with its office, numbers and dates.
- Application type and filing route
- Application, publication and grant numbers and dates
- Claims, inventors and IPC/CPC classification
- Status from filing to grant

Priority, office actions and annuities
Priority claims with their country and date, office actions with their deadlines, and the next annuity date and expiry, so maintenance is planned rather than discovered.
- Priority claims
- Office actions with deadlines and a responsible person
- Next annuity date and expiry

Patent management software vs. a spreadsheet
| Spreadsheet or docketing calendar | IPBases | |
|---|---|---|
| Patent record | A row per patent | A page with route, claims, inventors, priority and dates |
| Office actions | Calendar entries | Actions with office deadline, internal date and owner |
| Annuities | Calculated by hand | Next annuity date and expiry on every patent |
| Documents and invoices | Elsewhere | On the same record |
| Trademarks for the same client | Another system | Same client record |
Who it suits — honestly
IPBases is built for IP practices: law firms, agents and in-house teams that handle trademarks and patents for clients. It is not a patent analytics or prior-art search platform, and it does not pay annuities to offices on your behalf; it tracks them so your team acts in time.
IPBases is installed on your own server — a standard cPanel host or a VPS with PHP 8 and MySQL or MariaDB — so client data stays where you host it. Stored passwords, API keys, client ID numbers and database backups are encrypted with AES-256-GCM using a key unique to your installation.
A one-time licence: Professional is $4,999 for one firm and up to 25 users, with one year of updates and support. Installation, setup, data migration from your spreadsheets or old system, and customisation are included. There are no subscriptions and no per-seat fees.
