IP billing and invoicing, built from the work on each mark.
Invoices in IPBases come from the services and costs recorded on the trademark or patent, go to the client or the associate who sent the work, and are tracked until they are paid — in whatever currency the client pays in.

Why IP firms need IP-specific invoicing
General accounting software does not know that one filing carries official fees and professional fees, that the invoice may go to the foreign associate rather than the owner, or that the same client pays in dirhams for one mark and dollars for another. IP invoice management is about connecting each invoice to the right, the work and the party who pays.
In IPBases, billable steps are recorded on the mark as services. When it is time to bill, the invoice is built from them beside a live A4 preview, and the mark, the client and the associate all show what is outstanding.
Invoices
From services to invoice
Every billable step on a filing is recorded as a service. Unbilled services are listed so nothing is forgotten, and an invoice is built from them in one go.
- Services catalogue with your standard fees
- Unbilled work listed per mark and per client
- Official and professional fees on the same invoice

Bill the client or the associate
Each mark records who is billed. Work that came from a correspondent can be invoiced to the associate, in their currency, with the client shown on the invoice.
- Bill-to associate on the mark
- Invoices in AED, SAR, KWD, QAR, BHD, OMR, EGP, JOD, USD, EUR and more
- VAT where it applies

Payments, balances and aging
Record payments and partial payments, and see who owes what, in which currency, and for how long.
- Aging: current, 31–60, 61–90 and 90+ days
- Balances per currency, and billing converted to one total
- Optional online card payment link (Stripe)

Fee proposals before the work
Quote for one or several countries with official and professional fees, in English or Arabic. The client opens the proposal as a link and can accept it there.
- Country fees from your rate cards
- Live preview while you write
- PDF for the client

IP invoicing vs. general accounting software
Keep your accounting software for the books; use IPBases for everything that touches a mark, a client or an invoice.
| Accounting software alone | IPBases | |
|---|---|---|
| Link to the trademark or patent | None | Every invoice belongs to its marks |
| Unbilled work | Remembered by staff | Listed from the services on each mark |
| Invoice the foreign associate | Manual | Bill-to associate per mark |
| Several currencies per client | Often awkward | Per invoice, with balances per currency |
| Fee proposals | Word documents | Proposal studio with country fees, accepted online |
Part of the whole system
Billing is part of the same IPBases licence as trademarks, patents, docketing, documents and portals. Clients and associates can see and download their invoices in their portal. More on how IP firms bill in our guide to trademark billing software.
A one-time licence: Professional is $4,999 for one firm and up to 25 users, with one year of updates and support. Installation, setup, data migration from your spreadsheets or old system, and customisation are included. There are no subscriptions and no per-seat fees.
