The daily run
IPBases checks every day for things that are coming due and sends the reminders that are needed. This daily run needs one scheduled task (a cron job) on your server, which the installation guide and the Automation page both show you how to add in cPanel. A daily run in the morning works well.
Run now on the Automation page does the same work straight away: it sends any renewal reminders and overdue invoice reminders that are due. Test email checks that reminders can be sent.
Automatic renewal reminders
- Auto-send renewal emails to clients: switch automatic reminders on or off.
- Alert days: how many days before the renewal date each reminder goes out, for example 90, 60 and 30.
- Template: which email template the reminders use. IPBases prefers the language that matches the trademark: Arabic when it has an Arabic name, otherwise English.
- Notify admins in-app: also create a dashboard notification for each Owner and Administrator when a renewal is approaching.
The page also lists the reminders sent automatically, so you can see what went out and when.
Notification events
Notifications lists every kind of reminder IPBases can send, each with its own alert windows, email template and recipients, and when it last ran:
- Trademark renewals
- Action deadlines
- Overdue invoices
- Design priority deadlines
- Annuity and renewal fees
- Provisional patent conversion, PCT national phase entry and office action responses
Open an event to change its windows, switch its emails on or off, choose the template or send a test.
No duplicate reminders
Each reminder is sent once per item and window. If the daily run happens twice, or someone presses Run now after it, nobody receives the same reminder again.
In-app notifications
Besides emails, IPBases creates notifications in the bell at the top of each page. Each person sees the alerts meant for them, depending on their notification preferences and the records they work on.
How it connects
This part of IPBases takes information from the parts on the left and changes what appears in the parts on the right. When you change one of them, check the other.
